Electrical Change Orders™ (“we,” “us,” or “our”) operates the website at electricalchangeorders.com and the associated web application (collectively, the “Service”). This Privacy Policy explains how we handle your information when you use our Service. By accessing or using the Service, you agree to the terms of this Privacy Policy.

2. How We Handle Your Data

We process your data solely to deliver the Service to you. We are not in the business of collecting, stockpiling, or monetizing your project information. Here is exactly what we handle and why:

Account Information

When you create an account, we receive your name and email address through our authentication provider. This is used to identify your account, manage your subscription, and communicate with you about the Service.

Project Data You Upload

Documents you upload (CCDs, RFIs, ASIs, contracts, T&M tickets, field tickets, specifications) and the change order outputs the Service generates (takeoff data, narratives, risk assessments, labor estimates) are processed and stored in your account for the duration of your active subscription. This data belongs to you. We process it to deliver the Service, and we store it so you can access your work. When you delete a job, CO package, or your account, the associated files and data are permanently removed.

Payment Information

Payment processing is handled entirely by Stripe, Inc. We never see, store, or have access to your credit card number, CVV, or full payment details. We retain only your Stripe customer ID and subscription ID for account management.

Usage Data

We automatically record basic information about how you interact with the Service, including pages visited, features used, browser type, device information, IP address, and timestamps. This is used to operate and improve the Service.

Cookies

We use session cookies to maintain your login state and essential cookies for the Service to function. We do not use third-party advertising or tracking cookies.

3. What We Do With Your Data

We use your information to:

Provide, operate, and maintain the Service
Process your documents and generate change order outputs
Process payments and manage your subscription
Communicate with you about your account, updates, and support requests
Enforce our Terms of Use and protect against misuse
Comply with legal obligations

4. AI Processing

The Service uses artificial intelligence to extract, analyze, and organize information from your uploaded documents. Your documents are processed in real time to generate change order outputs including scope narratives, takeoff data, risk assessments, and labor estimates.

Our Commitments on AI and Your Data

We do not use your project data to train AI models. Your documents are processed to deliver your results, not to improve or train any machine learning system.
We do not sell your project data. Your documents and generated outputs are never sold, licensed, or provided to third parties for their own use.
Your data is isolated. No other user can access your jobs, documents, or CO packages. Every data access is scoped to your authenticated account.

Document content may be processed by third-party AI infrastructure providers solely for the purpose of delivering the Service to you. These providers operate under enterprise data processing terms and are contractually prohibited from using your data for their own training or any other purpose.

5. Data Retention and Deletion

We retain your project data only for as long as you need it:

Active subscription: Your data is stored and accessible for the duration of your active subscription.
Job or CO package deletion: When you delete a job or CO package, all associated documents, generated outputs, and stored files are permanently removed from our systems, including cloud storage.
Account cancellation: After your subscription ends, your data is retained for 30 days in case you reactivate. After 30 days, all project data and uploaded files are permanently deleted.
Account deletion: If you request full account deletion, all your data, including account information, project data, uploaded files, and generated outputs, is permanently removed within 30 days.

Account information (name, email) may be retained for up to 90 days after deletion where required for legal compliance, dispute resolution, or enforcing agreements.

6. Your Right to Delete Your Data

You have full control over your data:

Delete individual jobs or CO packages at any time from within the app. All associated files and data are permanently removed.
Request full account deletion by contacting us. We will permanently delete all your data within 30 days.
Export your data before deletion. You can download your CO packages, takeoff data, and generated outputs at any time while your account is active.

7. Data Sharing and Disclosure

We may share your information with:

Service Providers: Third-party companies that help us operate the Service, including cloud hosting, payment processing (Stripe), and AI infrastructure providers, each bound by data processing agreements
Legal Requirements: When required by law, regulation, legal process, or governmental request
Business Transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction
With Your Consent: When you explicitly authorize us to share information

We do not sell your personal information or project data to third parties.

8. Data Security

We implement reasonable technical and organizational measures to protect your information, including encrypted data transmission (TLS/SSL), secure cloud infrastructure, access controls, user-scoped data isolation, and server-side processing of all proprietary logic. Uploaded files are stored in private cloud storage and accessed only through authenticated, time-limited URLs. However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.

9. Your Rights

Depending on your jurisdiction, you may have the right to:

Access the personal information we hold about you
Request correction of inaccurate information
Request deletion of your personal information and project data
Export your data in a portable format
Opt out of certain data processing activities

10. Children’s Privacy

The Service is not intended for individuals under the age of 18. We do not knowingly process personal information from children. If we become aware that we have received information from a child under 18, we will take steps to delete that information.

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the effective date. Your continued use of the Service after changes are posted constitutes acceptance of the revised policy.
